Google User Data Access

What Google User Data We Access

FormSync for Trello accesses the following Google user data:

  • Google Forms Data:
    • Form structure and questions
    • Form responses and submissions
    • Form metadata (title, description, settings)
    • Response timestamps
  • User Profile Information:
    • Your Google account email address (for authentication)
    • Basic profile information (name, locale, timezone)
  • Google Drive Access (Limited):
    • Access to Google Forms you own or have edit access to
    • No access to other files in your Google Drive
OAuth Scopes We Request

FormSync for Trello requests the following Google OAuth scopes:

  • https://www.googleapis.com/auth/forms - View and manage your forms in Google Drive
  • https://www.googleapis.com/auth/forms.responses.readonly - View responses to your Google Forms
  • https://www.googleapis.com/auth/script.scriptapp - Allow this application to run when you are not present (for form submission triggers)
  • https://www.googleapis.com/auth/script.container.ui - Display and run third-party web content in prompts and sidebars inside Google applications
  • https://www.googleapis.com/auth/script.external_request - Connect to external services (Trello API and license validation)
  • https://www.googleapis.com/auth/userinfo.email - See your primary Google Account email address
  • https://www.googleapis.com/auth/script.send_mail - Send email on your behalf (for support requests)
Why We Need Each Permission
  • forms: Required to access form structure, questions, and settings to map fields to Trello cards
  • forms.responses.readonly: Essential for reading the actual form responses to include in Trello cards
  • script.scriptapp: Enables automatic triggers that run when forms are submitted without manual intervention
  • script.container.ui: Powers our configuration interface where you set up integrations and manage settings
  • script.external_request: Critical for sending data to Trello API and validating premium licenses
  • userinfo.email: Used for authentication and identifying your account
  • script.send_mail: Only used when you submit support requests through our FAQ & Support feature

How We Use Google User Data

We use Google user data solely to:

  • Read form responses when submitted
  • Map form fields to Trello card fields as configured by you
  • Create Trello cards with the form response data
  • Store your integration settings (which forms connect to which Trello boards)
  • Display your email for authentication purposes
  • Send support emails when you explicitly request help through the support form

We DO NOT:

  • Store form response data on our servers
  • Share your Google data with third parties (except Trello as you explicitly configure)
  • Use your data for advertising or marketing
  • Access any Google Drive files other than Google Forms
  • Modify or delete your Google Forms

Data Storage and Retention

What We Store
  • Integration Settings: Your configuration (which form fields map to Trello)
  • API Credentials: Your encrypted Trello API token
  • Usage Metrics: Number of cards created (for plan limits)
  • Support Data: If you contact support, we store your email and issue details
Where Data is Stored
  • Configuration data is stored in Google's own Script Properties service
  • No form response data is stored outside of Google and Trello
  • Temporary processing occurs in memory only during form submission
Data Retention Period
  • Integration settings: Retained as long as you use the service
  • Usage metrics: Reset monthly
  • Support communications: Retained for 2 years
  • Form response data: Never stored (passed directly to Trello)

Data Deletion

How to Delete Your Data

You can delete your data at any time by:

  1. Remove App Access:
  2. Delete Integration Settings:
    • Open Google Forms
    • Go to Extensions → FormSync for Trello → Create & Edit Integration
    • Delete all integrations and Trello API credentials
  3. Request Complete Deletion:
    • Email us at [email protected]
    • Include your Google account email
    • We will delete all associated data within 30 days
Automatic Deletion
  • Unused accounts with no activity for 12 months are automatically purged
  • When you revoke app permissions, we lose access to your Google data immediately

Data Security

  • All data transmission is encrypted using HTTPS/TLS
  • Trello API tokens are encrypted before storage
  • No form response data is retained after processing
  • Access to configuration data requires Google authentication
  • Regular security audits of our code

Limited Use Disclosure

FormSync for Trello’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Changes to Privacy Policy

We may update this policy to reflect changes in our practices or for legal reasons. We will notify users of significant changes via email or in-app notification.
